Mobile Device Policy

Definitions

  1. A Smartphone or Tablet ("Mobile Device") is a cellular or wireless device that runs a mobile operating system (Android, iOS, Windows Phone,  etc) which includes the ability to access the Internet, either through a cellular or wireless connection and is capable of some, if not all, of the following; downloading applications, running programs, interfacing via GPS, taking photographs or videos, storing content on flash media, placing or receiving voice/video calls, and sending or receiving text or multimedia messages.
  2. A MiFi Device or Wireless Hotspot ("Internet Access Device") is a Mobile Device that performs the functions of using the cellular network as an uplink to the public Internet and providing a wireless network to surrounding devices.
  3. A Corporate-Liable Mobile Device is a Smartphone or Tablet or Internet Access Device that the Company has purchased and/or for which the Company carries the recurring monthly costs associated with wireless service.
  4. An Employee-Liable Mobile Device is a Smartphone or Tablet or Internet Access Device that an employee has purchased for which the employee carries the recurring monthly costs associated with wireless service.
  5. A Corporate Account is defined as an attachment of Company-provided Identity through an Authorization Mechanism (username/email, password, etc) in a persistent way on a mobile device to access Content owned by the Company.  Examples include attaching a company email account to a device to sync email, calendar, contacts, etc or a company Podio account to interact with the content therein.
  6. A Personal Account is defined as an attachment of an Identity that is not provided by the Company in a persistent way on a mobile device.  Examples include an employee's personal email address, Facebook account, etc.

Corporate-Liable Mobile Devices

  1. Authorized users of mobile devices are bound by the IT Policy / Code of Conduct.  
  2. The use of Corporate-Liable Mobile Devices is limited to business use only.  
  3. The use of a Corporate-Liable Mobile Device is limited to only the user possessing the Corporate Account associated with the device.  Your colleagues, your kids, etc may not use your device...only you may do so!
  4. The use of any unsanctioned sites or apps including file sharing apps, messaging apps, voice/video apps, and social network apps (Facebook, etc) is prohibited on Corporate-Liable Mobile Devices.  
  5. The use of streaming audio or video services (Pandora, Netflix, etc) is prohibited.  
  6. The use of Personal Accounts is unsupported on Corporate-Liable Devices.
  7. In the case of a device swap for any reason the IT department will only install and configure corporate accounts and services.  No personal content of any kind (accounts, music, pictures, videos, etc) will be backed up or restored.
  8. The company may, at its discretion, require the use of strong passwords, PIN codes, device encryption, and mobile device management technologies to secure mobile devices and enforce adherence to company policies.
  9. Users of Corporate-Liable Mobile Devices should have no expectation of privacy with regard to the content that resides on or passes through these devices.
  10. Attempts to make backups of corporate content locally or to cloud-based backup/sync solutions using anything other than a Corporate Account is prohibited.
  11. Lost / Damaged / Stolen Devices
    1. Lost or stolen devices devices must be reported immediately to the IT Department (www.schusterinc.net/it)
    2. The full cost to replace a lost device during the contract period (2 years) will be deducted from employee pay checks unless waived by an authorized manager. This cost will be determined at the time when replacement equipment is ordered and will be based on the replacement device purchase price.
    3. 50% of the full cost to replace a damaged device (screen crack, water damage) during the contract period (2 Years) will be deducted from employee pay checks unless waived by an authorized manager. This cost will be determined at the time when replacement equipment is ordered and will be based on the replacement device purchase price.
    4. The cost to replace a device or cancel a line of service will be deducted from employee pay checks at the termination of employment for any reason if the device is not returned to the IT Department within 48 hours of the termination of employment.
  12. International calls/data usage and/or taking phones outside of the United States is prohibited.

Employee-Liable Mobile Devices

  1. Attaching Corporate Accounts to an Employee-Liable Mobile Device must be approved in advance with the IT Department and the employee's manager or supervisor.
  2. Authorized users of mobile devices are bound by the IT Policy / Code of Conduct insofar as they are interacting with company-provided services or content.  
  3. Authorized users must guard against the accidental use of any Corporate Account by anyone other than the Authorized User.  You are liable at all times for activity that happens in connection with your corporate account.
  4. The company does not provide technical support for employee-liable mobile devices outside of assisting with Corporate Account authentication issues.
  5. The company may, at its discretion, require the use of strong passwords, PIN codes, device encryption, and mobile device management technologies to secure mobile devices and enforce adherence to company policies.  These requirements, while a potential prerequisite, are undertaken voluntarily by the employee who wishes to use his or her personal device.
  6. The IT Department maintains the right to use Device Management capabilities to remove any and all Corporate Accounts from an employee's device at any time.
  7. Attempts to make backups of corporate content locally or to cloud-based backup/sync solutions using anything other than a Corporate Account is prohibited.
  8. Lost or stolen devices should be reported to the IT Department immediately.  

Employee-Liable Mobile Device Reimbursement Registration:

The Company offers a Bring-Your-Own-Device program to approved employees which includes a monthly reimbursement. Visit the Mobile Device Reimbursement Registration for more details. Please note that your registration will need to be approved before reimbursements begin. You will receive a text message when your request is processed.  You are encouraged not to incur any costs associated with use of your own mobile device for work work purposes until you are approved for reimbursement.  The company is not liable for any expenses you may incur prior to being approved for participation in this program.
